DATA
Incoming images, videos and electronic documents, can be received directly via an API, Webhooks, secure FTP / MFT servers or onsite scanners at your premises.
HARDCOPY
Incoming hardcopy documents are sorted and prepared for transfer to high speed scanners.
The electronic image
files are uploaded directly
to our servers using a secure encrypted connection.
Incoming emails are
re-directed to dedicated secure mailboxes at OutProsys where they will be converted along with attachments into electronic image files for the data processing stage of our process.
PROCESSING
Utilising a combination of our leading edge AI recognition systems, highly trained and experienced operators, we transform the raw unstructured data into usable and intelligible information.
All data runs through our matching processes, predefined business rules
and validation routines to ensure the data is complete, accurate and valid.
HOST
The electronic information is processed into your required format and securely uploaded to your ERP systems. Additionally, your electronic images and data can be hosted on our secure web portal to provide your authorised users 24 x 7, real-time access to their documents as well as DR offsite backup.
Here OutProsys’s experience and technical capability comes into play utilising a combination of our leading edge AI recognition technology and highly trained and experienced data capture operators to capture typed and handwritten text in multiple currencies and languages as well as any form of Image content. Our manual data capture of hand written text involves one operator first capturing the data and a second more experienced operator re-capturing each character blind ensuring all data is double captured. Typed text and Images that go through the optical recognition process is followed by key correction, which requires the support of exception management where our experienced data capture operators perform OCR corrections and double check for any anomalies.
Finally, within the agreed SLA timeframes the validated electronic data captured is processed into the customer required format and securely uploaded to the client’s ERP system, thereby enabling inclusion within the decision making process. The electronic images and data can be hosted on our secure document management Web Portal to provide authorised users 24×7, real time access to their data as well as Disaster Recovery offsite backup.
In order to ensure guaranteed continuity of service supporting the data processing and hosting of over a million documents a month for our customers, we save all data and electronic documents not once or twice but three times and have a failover firewall, power generator, batteries, internet and water supply.
